Office & Events Assistant
CATT, the Contractors Association of Truckee Tahoe, is a 501(c)6 non-profit, regional trade association based in Truckee, CA. CATT is accepting applications for a fulltime Office & Events Assistant. This is a non-exempt hourly position. Benefits include but are not limited to paid vacation and holidays plus a monthly health stipend. The Office & Events Assistant reports directly to the Executive Director.
CATT was founded in June 1998 and currently has 380-member companies covering the broad spectrum of the building industry, related trades, and professions. CATT hosts a variety of activities and provides benefits and services to meet member needs. CATT is looking for an Office & Events Assistant to support day to day operations, program functions, membership benefits and services, and events coordination. The Office & Events Assistant will work directly with CATT Executive Director and CATT Membership & Events Manager to provide needed support in these areas.
RESPONSIBILITIES AND DUTIES include the following:
Communications: Daily in person, phone and email correspondence and staff calendars
Database upkeep: Update Outlook, MailChimp, Newsletter, Excel databases including CATT membership, CATT master contact list, monthly operations budget expense entry
Trainings: Send broadcast emails for trainings & classes, track class participant list, email reminders to participants
Office Supplies & Equipment: Check office supplies and equipment, purchase and request maintenance as needed
Board of Directors: Assist with roster, meeting calendar, and monthly board meeting requirements
Initiatives: Research CATT initiatives including podcast series, member benefit training opportunities, operational improvements including new database and online phone system
Jobs to Bid: Handle public inquiries for Jobs to Bid, prepare MailChimp request to send to members, manage Jobs to Bid database, follow up with homeowners, maintain follow up spreadsheet, track results
Annual Building Awards: Manage Awards Committee, manage call campaign and tracking, email notices to members for nominations, process applications for judges to review, manage award meeting coordination, prepare agendas and recap notes for awards committee, update website as needed for online voting, create posters for display, order award plaques, assist with evening awards PowerPoint presentation, prepare award descriptions for the Building & Remodeling Guide, create announcement for media, order metal prints for office
Building & Remodeling Guide: Work with Sierra Living on Guide display and distribution, update distribution spread sheet, assist with identifying a new publisher for the 2022-2023 Building & Remodeling Guide contract, manage project timeline and assist with content follow up and membership listing
Website: Update all pages of the website when needed, promote web advertising options for revenue to CATT,
manage featured member (invite participant, post to site), post/email job openings and classified ads, assist with annual website ballots and voting
Newsletter: Assist with creation of monthly newsletter, collect content including articles, features, and photos,
post newsletter to website, thank sponsor(s) on FB
MailChimp: Assist with sending out CATT Weekly and other weekly news across program areas
Branding: Work closely with Marketing Specialist to execute updated CATT branding across program areas, program marketing campaign development and achieving CATT Marketing Committee goals.
Instagram: Provide Marketing Specialist with photos and assist with content when needed
YouTube: Prepare post event videos, creating and management of CATT YouTube page, manage all notifications
Event coordination: Assist with the date setting and coordination of 5 fundraising/networking events
Committees: Participate in event volunteer committees and take notes when needed
Marketing: Work withMarketing Specialist to develop and implement existing events campaigns
Day of event logistics: Work with staff to execute day of event set up, registration, sponsorship logistics, event logistics, venue requirements, volunteer coordination, food & beverage, awards, close out and clean up
Follow up: Support events committees with all needed participant and sponsor event follow up and acknowledgement
Budget: Work with Membership & Events Manager to develop month to month annual budget projections
Partners: Work with Membership & Events Manager to maintain 2021 Partnership Agreements
Assist with CATT sponsored organizations CATT Political Action Committee (CATTPAC) and CATT Community Project (CATT CP) as needed
CATT CP: Assist with management of fundraising campaign for Truckee Downtown Park and other CP projects
Standard office environment with 8am-5pm office hours. Flexible work schedule is allowed. Ability to work remotely when needed. This is an at-will position.
Most administrative activities will occur at the Truckee office, but many events are held offsite or in an outdoor setting. The offsite events work environment will vary, depending on activity and location.
Three to five years of experience working in an administrative office and with events planning or project management. Marketing experience and budget management preferred. Familiarity working with non-profit organizations and with volunteers is desired.
Hourly pay is $23.00. Benefits include paid vacation, bereavement and jury days; ten (10) paid holidays; and a monthly health insurance stipend. Mileage reimbursement is paid at the standard IRS rate. A monetary allowance for Professional Education is included in the Annual Budget.
