Administrative Associate

 

Tahoe Truckee Community Foundation (TTCF)  is a local philanthropic and community-based organization in Truckee, California. Our mission is to connect people and opportunities, generating resources to build a more caring, creative, and effective community.

 

Our team is seeking a highly-organized professional to serve in the role of Administrative Associate. This core member of the Foundation’s operations team will provide day to day administrative support to TTCF’s CEO, board and staff, and community stakeholders. Our ideal candidate is detail-oriented, self-motivated and approaches relationship building and communication with a courteous and professional approach. 

 

Duties include:

  • Administrative & Executive Support
  • Operations & Facilities Management 
  • Governance Support

 

Qualifications:

  • A minimum of 3-5 years work experience and a high school level education is preferred, however all candidates with the right mix of life experience and hard skills will be considered.
  • Competency in computer programs including Microsoft Office or GoogleSuite
  • Strong organizational and communication skills and customer-service orientation
  • Experience in or basic knowledge of the non-profit sector
  • Comfortable working in diverse settings and groups

This is a non-exempt full time position of 40 hours a week with a requirement to work in-person, based in the Truckee office. Salary range is  $60,000-$65,000 based on experience, plus benefits. Bilingual candidates are encouraged to apply.

Administrative Associate

TTCF’s Administrative Associate will lend their exceptional organizational skills in service to ensuring an accessible, professional and welcoming office environment is maintained and the operating core of the Foundation functions efficiently. As a collaborative member of the Operations team, this individual provides a high level of responsiveness to a broad range of community stakeholders, executives and internal staff collaborators in order to ensure deadlines are met and products are delivered in a professional and timely manner.

Job responsibilities:

Administrative & Executive Support

Responsible for the smooth operation of TTCF’s administrative functions, including:

 

  • Maintain and manage multiple staff, board and community calendars including in-person and virtual calendar events. 
  • Assist with daily finance functions including processing mail, cash receipts, coding and deposits 
  • Data-entry and updates in CRM records
  • Support Foundation meetings, events workshops and donor activities, including:
    • planning, logistics and set-up and breakdown
    • virtual supports
    • registration management (internal and external)
    • follow-up actions and communications as needed
  • Support CEO in special projects such as making travel arrangements, ensuring meeting needs are met.
  • External communication review of press, news, social media and community event agendas to ensure awareness of TTCF media and aligned community conversations

 

Operations & Facilities Management

Serve as the point of contact for internal tech support to TTCF Staff:

  • Maintaining inventory and provisioning of technology
  • Working with Operations Team to work through renewals and team access to softwares and technologies
  • Work as a member of the Operations team to implement and manage cybersecurity and protocols to ensure safety of TTCF’s data and privacy

Ensure the office is equipped with needed supplies and equipment:

  • Serve as the first point of contact for office visitors, answers office telephone and directs callers to the appropriate resource  
  • Responsible for the overall physical optimization of TTCF offices, including a clean and safe environment that is compliant with laws, provides a warm and welcoming environment throughout business hours.
  • Maintain the organization of supplies, and printed materials 
  • Maintain the conference room and shared resources/office space and technology
  • Ensure physical records are maintained and organized for retention requirements

Governance Support

 

Provide support for Board and Committee meetings, including:

  • Taking meeting minutes
  • Supporting Board packet creation and posting
  • Ensuring proper archiving of documentation
  • Maintaining Board Calendar
  • Serving as tech support for hybrid meetings
  • Ensuring annual documentation of Board is maintained and updated
