Event Services Manager

Tahoe Mountain Club is a four-season Social Club focused on creating unforgettable mountain moments that allow members and guests to build upon family traditions, embark on new adventures, and create lifelong friendships while sharing all that Tahoe has to offer. We are located within the beautiful mountain town of Truckee, California, minutes away from Lake Tahoe. The Club operates Old Greenwood and Gray’s Crossing Championship golf courses, swim tennis and fitness centers at Old Greenwood and Gray’s Crossing, Alpine Club ski valet and lounge in the village at Northstar California, and Schaffer’s Camp on-mountain dining at Northstar. In total the Club operates four restaurants, each with their own unique dining experience and offering. The Club’s well established private and public venues offer a range of services including traditional breakfast, lunch, dinner, banquets, Member events, weddings and group golf functions.

ESSENTIAL DUTIES:

  • Coordinate and plan corporate, weddings and other social events including, but not limited to, birthdays, anniversaries, non-profit events, surprise parties, internal company events, and member private events.
  • Assists the client in menu selection and setup suggestions; coordinates food, beverage, venue set-up, and other services as requested by the client that TMC is responsible for; assures that all requirements are communicated and completed to the client’s specifications.
  • Detail events and information in Event Pro and 3Devent Designer.
  • Develop and distribute all communication relating to planning and execution of group functions, including, but not limited to, group resumes, banquet event orders (BEO’s) and room sets.
  • Coordinate and monitor event timelines and ensure deadlines are met.
  • Arrange and conduct menu tastings.
  • Conduct daily walkthrough of event space to ensure client satisfaction and quality standards.
  • Work closely with internal departments to ensure execution of events, including attending weekly meetings.
  • Respond to client emails, phone calls and requests in a timely manner.
  • Greeting clients at the beginning of events, assuring set-up is correct, remaining with event through food service and clear hand over to Banquet Manager after final course.
  • Handle VIP amenities.
  • Meets with planners and clients after their event to discuss success of event, deficiencies, etc.
  • Distribute service survey and thank you to group leaders.
  • Interact with accounting to ensure deposits and payments are received.

Required:

  • Able to communicate effectively in writing and verbally across all levels of the organization.
  • Excellent organizational skills with the ability to handle multiple tasks.
  • Creative, problem-solving skills and a resourceful, can-do attitude are essential. Flexibility is required.
  • Demonstration critical thinking and quick decision-making capabilities under pressure.
  • Able to establish and maintain effective working relationships and interact with others
  • Working knowledge of computer systems including Salesforce, Event Pro, Fore Up, 3D Event Designer, MS Office (Word, Excel, Outlook, Access)
  • Expertise, willingness, and confidence in interacting with clients and vendors.
  • Able to work with a sense of urgency.
  • Display a neat, clean, and business-like appearance at all times.

Education and Experience:

Required:

  • High School Diploma or GED
  • Two years related experience and/or training; or equivalent combination of education and experience
  • Strong knowledge of food and beverage operations, menu planning, quality food preparation, and banquet service.
